Xhawi Administration Fees and Asset Purchase Policy

This document outlines Xhawi's administrative fees, policies for purchasing Xhawi assets and packaging materials, and payment terms. Sellers are required to familiarize themselves with these terms to ensure smooth transactions and to avoid unnecessary charges. This policy must be read in conjunction with:

1. Xhawi Administration Fees

Xhawi may levy administrative fees on sellers for non-compliance with contractual or operational SLAs. All changes to our fee structure will be communicated to sellers with at least fourteen (14) days’ notice, either by direct notification or by posting updates on the Xhawi platform.

Fee Schedule:

  • Cancellation Fee (5%): Charged when an order is canceled due to seller-related issues, such as inaccurate stock levels.
  • Gateway Charge on Return (1%): Covers the cost of payment gateway fees for returned orders.
  • Warranty Fee (25%): Charged when a seller fails to meet warranty requirements as per local consumer laws. This fee is a percentage of the full product price.

Non-Compliance Fees:

  • Delayed Orders (10%): Applied if the seller fails to have an order ready for delivery by the committed time.
  • Product Not Matching Listing (10%): Charged if the product description does not accurately match the actual product, leading to customer grievances.
  • Defective, Used, or Expired Products (10%): Covers cases where goods are shipped with missing parts, damage, defects, or counterfeit items.
  • Incorrect Weight Fee (5%): Applied when incorrect weight information leads to additional charges from the 3PL. This fee covers the administrative costs and any additional 3PL charges.

2. Purchasing Xhawi Assets and Packaging Material

Xhawi provides sellers with an option to purchase Xhawi-branded assets and packaging materials to ensure secure and consistent delivery experiences. Using Xhawi-approved packaging enhances brand consistency and protects products during transit.

Payment Terms:

  • All payments for Xhawi assets and packaging materials are due within two weeks (14 days) from the invoice date. Xhawi will deduct outstanding payments automatically if necessary.

Important Points:

  • Sellers are responsible for any fees related to the use of Xhawi’s services and assets, including applicable taxes.
  • Sellers must keep their account in good standing by ensuring timely payments. Failure to meet payment deadlines may result in penalties, account suspension, or termination of services, and may necessitate collection actions such as legal proceedings.

Changes to Fees and Services

Xhawi reserves the right to update its fees or introduce new services at any time. If Xhawi introduces a new service, the applicable fees will be effective from the date of launch unless otherwise specified. All fees are quoted in Omani Rial (OMR).

Disputes and Inquiries

Sellers with questions or disputes regarding charges should contact Xhawi’s admin team for resolution. In case of non-payment, Xhawi reserves the right to deduct outstanding amounts from any funds held on behalf of the seller.

By adhering to these policies, sellers contribute to a streamlined operation, minimizing issues that could impact customer satisfaction and transaction integrity on the Xhawi platform.
